TEDxColombo App Terms of Use

1. Introduction

Welcome to the TEDxColombo mobile application (the “App”).

The App is operated by TEDxColombo (“TEDxColombo”, “we”, “us” or “our”), an independently organised TEDx event operating under licence from TED.

These Terms of Use (“Terms”) govern your access to and use of the App and its features, content and services.

By accessing or using the App, you agree to these Terms and acknowledge our Privacy Policy. If you do not agree, you should not use the App.

2. Purpose of the App

The App is designed to help users discover TEDxColombo content, engage with the TEDxColombo community and access features associated with TEDxColombo events.

Depending on availability, features may include:

• Information about TEDxColombo events, speakers, sessions and announcements.
• Access to talks, videos, podcasts and other media.
• Saved content, private notes and viewing progress.
• Questions, reactions and other participation features.
• Connections with other App users.
• Event access and attendance-related features for eligible attendees.
• Notifications about relevant TEDxColombo activities.
• Camera-based features, including QR scanning and branded photo or video experiences.

Features may change, be unavailable for certain events or require an account or eligible event access.

3. Eligibility

The App is intended for people aged 16 years or older.

By using the App, you confirm that you meet this minimum age requirement and are legally permitted to use the App under applicable law.

We do not currently operate a formal age-verification system. If we become aware that an account belongs to someone below the intended minimum age, we may restrict access or delete the account.

4. Accounts and Sign-In

Certain features require an account.

You may sign in using supported authentication services, including Google Sign-In and Sign in with Apple.

You agree to provide accurate information where requested and to keep your account secure. You are responsible for activity carried out through your account, except where responsibility cannot lawfully be assigned to you.

You must not impersonate another person, create an account using information you are not authorised to use or attempt to access another user's account.

Your use of a Google or Apple account is also subject to the applicable provider's terms.

5. Personal Features and Stored Content

The App may allow you to save talks or other content, create private notes, track viewing progress, follow podcasts, submit questions, react to content and manage other account-linked preferences.

These features are provided for personal use. We may modify or discontinue them as the App develops.

Private notes are not displayed publicly through the App. You remain responsible for deciding what information to enter into any personal or interactive feature.

We recommend retaining separate copies of any information that is important to you. The App is not intended to serve as a permanent archival or backup service.

6. Event Information

Event dates, times, programmes, speakers, venues, session arrangements and other details may change.

We aim to provide accurate information but cannot guarantee that all event information will remain unchanged or error-free.

TEDxColombo may modify event programmes, substitute speakers, adjust schedules or change event arrangements where reasonably necessary.

Information in the App does not itself guarantee admission to an event.

7. Tickets and Event Access

The App does not sell tickets, process ticket payments or provide in-app event registration.

Where ticket booking is available, the App may direct you to a third-party ticketing provider through your device's browser.

Ticket purchases, payment processing, booking terms, cancellation conditions, refunds and related transactions are handled by the relevant third-party ticketing provider and are subject to its applicable terms and policies.

TEDxColombo may receive attendee information from the third-party ticketing provider and use it to confirm event eligibility and provide relevant event-day features in the App.

Where an attendee's ticket information matches the email address associated with their App account, event access may be linked to that account.

The App may store event-specific access entitlements and attendance or check-in status. It does not provide a ticket QR code or store ticket payment details.

The Connect QR code described in these Terms is a networking feature and is not an admission ticket.

8. Connect and Networking Features

The App may offer a Connect feature that allows users to request connections with one another.

Scanning another user's Connect QR code sends a connection request. Scanning the code or sending the request does not, by itself, disclose the user's contact details to the other person.

Contact information becomes available only after the recipient accepts the connection request.

After acceptance, the connected user may see:

• Your display name.
• Your email address, which is shared by default unless you disable email sharing.
• Your phone number, only if you choose to enable phone-number sharing.

Your profile photograph is not shared through the Connect feature.

You are responsible for the contact information you choose to make available to accepted connections. You should not misuse another person's contact details, including for harassment, unsolicited marketing or other unauthorised purposes.

The App does not currently provide a feature for removing an accepted connection individually. Deleting your account removes its connections from both users' connection records in the active system.

9. Questions and Audience Participation

The App may allow users to submit questions or reactions in connection with TEDxColombo content or events.

Submitted questions are not automatically visible to other users.

If organisers answer a submitted question, the question text may then be displayed publicly and anonymously. The App does not publicly display the question submitter's name or profile alongside the answered question.

You must not submit questions or other content that is unlawful, abusive, threatening, defamatory, discriminatory, misleading, invasive of another person's privacy or otherwise inappropriate.

TEDxColombo may review, decline to answer, remove or restrict submitted content where reasonably necessary to operate the feature or enforce these Terms.

10. Acceptable Use

You agree not to:

• Use the App for unlawful, fraudulent or harmful purposes.
• Harass, threaten, impersonate or exploit another person.
• Collect or misuse other users' personal information.
• Send unsolicited commercial messages using information obtained through the App.
• Submit content that infringes another person's intellectual property, privacy or other rights.
• Attempt to bypass authentication, access controls, event entitlements or security measures.
• Interfere with the App, its servers, networks or other users' access.
• Introduce malicious code, automate abusive requests or attempt unauthorised data extraction.
• Copy, redistribute or commercially exploit App content except where expressly permitted or authorised by law.

We may investigate suspected misuse and take proportionate action, including restricting features or suspending access.

11. Intellectual Property

The App, including its design, software, graphics, branding, original text and other materials, contains intellectual property owned by TEDxColombo or its respective licensors.

Subject to these Terms, you receive a limited, personal, non-exclusive, non-transferable and revocable permission to use the App for its intended purposes.

You do not acquire ownership of the App or any intellectual property by downloading or using it.

Talks, recordings, photographs, podcasts and other materials may be subject to separate rights, licences and platform restrictions.

You must respect applicable copyright notices and restrictions.

12. TED, TEDx and Third-Party Marks

TED, TEDx and related names, logos and marks belong to their respective rights holders.

TEDxColombo is an independently organised TEDx event operating under licence from TED. The App is operated by TEDxColombo, not by TED itself.

Nothing in these Terms grants permission to use TED, TEDx, TEDxColombo or third-party names, logos or marks for commercial or promotional purposes without the appropriate authorisation.

13. Videos, Podcasts and External Media

The App may display or link to videos, podcasts, photographs and other media made available through external services, including YouTube, podcast hosting services and Flickr.

Availability, playback quality, advertisements, accessibility and restrictions on such content may depend on the external provider, your device and your internet connection.

Content provided through external services remains subject to the applicable provider's terms and rights.

TEDxColombo is not responsible for interruptions or changes made independently by those providers.

14. Camera, Microphone and Local Media Features

Certain features may request permission to access your device's camera or microphone.

These permissions may be used to scan Connect QR codes or capture photographs and videos using TEDxColombo-branded experiences.

Photographs and videos created through these features are processed and stored locally on your device and are not uploaded to TEDxColombo's servers by the App.

If you choose to save, export or share media using your device or another application, that action may be governed by the device platform or receiving service.

You can manage camera and microphone permissions through your device settings. Disabling a permission may prevent the corresponding feature from working.

15. Notifications

The App may provide push notifications, including:

• Updates: TEDxColombo announcements and relevant updates.
• Activity: Notifications about activities such as answers to submitted questions or requested recordings.
• Podcasts: Notifications about new episodes of podcasts you follow.

You can manage these notification categories in the App and may also disable notifications through your device settings.

Notification delivery is not guaranteed and may depend on your device, operating system, connectivity and notification permissions.

16. Privacy and Personal Information

Our collection, use, sharing, retention and deletion of personal information are described in the TEDxColombo App Privacy Policy.

By using features that involve personal information, you acknowledge that the relevant processing will occur as described in that policy and in accordance with applicable law.

You should review your Connect sharing preferences before accepting or making connections.

17. Account Deletion

You may delete your account directly in the App by navigating to:

You → Settings → Delete Account

In-app deletion removes your account and associated information from our active systems immediately, subject to the limited audit-log and backup exceptions explained in our Privacy Policy.

You may also request account deletion by emailing [email protected].

We may need to verify that you control the account before processing an emailed request. Verified email requests will be completed within 30 calendar days, provided you respond in a timely manner to any reasonable additional enquiries necessary to verify or complete the request.

Deletion is permanent. Deleted account information, saved items, notes, connections, participation records and other account-linked features cannot be recovered through the App.

18. Third-Party Services and Links

The App integrates with or links to services operated by third parties, which may include authentication providers, media platforms, notification infrastructure and third-party ticketing providers.

When you access a third-party website or service, its own terms, privacy practices and technical requirements may apply.

We do not control every aspect of third-party services and cannot guarantee their continuous availability, security or performance.

Links and integrations do not necessarily imply endorsement of all third-party content or practices.

19. Availability and Changes to the App

We may update, improve, modify, suspend or discontinue all or part of the App, including individual features, for operational, technical, security, legal or event-related reasons.

The App may be temporarily unavailable because of maintenance, connectivity issues, outages or circumstances beyond our reasonable control.

We do not guarantee uninterrupted access or that all features will work on every device or operating-system version.

20. No Warranties

To the extent permitted by applicable law, the App and its content are provided on an “as available” and “as is” basis.

We do not make guarantees that the App will always be uninterrupted, error-free, secure or suitable for every particular purpose.

This section does not exclude any guarantee, warranty or right that cannot lawfully be excluded.

21. Limitation of Liability

To the fullest extent permitted by applicable law, TEDxColombo will not be liable for indirect, incidental, special or consequential losses arising from use of or inability to use the App, including loss of data, loss of opportunity or interruption of access.

We are not responsible for losses caused solely by independent third-party services or by misuse of the App contrary to these Terms.

Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability that cannot be excluded under applicable consumer protection or other laws.

22. Your Responsibility

You are responsible for your conduct when using the App and for content you submit or information you choose to share with other users.

You agree to use the App in a manner that respects the rights, safety and privacy of others.

Where your unlawful conduct or material breach of these Terms causes loss to TEDxColombo, you may be responsible to the extent provided by applicable law.

23. Suspension or Termination of Access

We may restrict, suspend or terminate access to an account or feature where reasonably necessary to:

• Address a breach of these Terms.
• Protect users, event participants or the App.
• Respond to security threats or suspected fraud.
• Comply with applicable law or a lawful request.
• Discontinue a feature or service.

Where appropriate and reasonably practicable, we may provide notice or an opportunity to address the issue.

You may stop using the App at any time and may delete your account as described above.

24. Changes to These Terms

We may revise these Terms to reflect changes to the App, our operations, applicable law or relevant services.

The updated version will indicate its last-updated date. Where changes are material, we may provide additional notice through the App or another appropriate channel.

Your continued use of the App after updated Terms take effect constitutes acceptance to the extent permitted by applicable law. If you do not agree to revised Terms, you should stop using the App.

25. Governing Law and Disputes

These Terms are governed by the laws of Sri Lanka, subject to any mandatory legal protections that apply to you.

Disputes arising in connection with these Terms or the App will be subject to the jurisdiction of the competent courts of Sri Lanka, except where applicable law requires otherwise.

Before initiating formal proceedings, you are encouraged to contact us so that we may attempt to resolve the concern.

26. General Provisions

If any provision of these Terms is found unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

Our failure to enforce a provision does not constitute a waiver of our right to enforce it later.

These Terms, together with the Privacy Policy where relevant, describe the principal terms governing use of the App. Separate terms may apply to external services and event ticket purchases.
